Cancellation and Refund Policy
At Melodia Event Management Services, we understand that unforeseen situations can sometimes disrupt event plans. We aim to ensure fairness and transparency while addressing cancellations and refund requests. Please take a look at our policies below to understand your rights and obligations.
1. Cancellation Procedure
- All cancellation requests must be sent to us via the company’s official email at melodiaeventmanagement@gmail.com.
- We will not accept cancellation requests through phone calls, SMS, or other communication channels.
2. Cancellation Notice Period and Refund Eligibility
Refund eligibility depends on when the cancellation request is made. The following conditions apply:
- More than 100 days before the event date:
You are eligible for a full refund (100%). - Between 50 and 100 days before the event date:
You are eligible for a 50% refund. - Between 10 and 50 days before the event date:
You are eligible for a 25% refund. - Within 10 days of the event date:
Unfortunately, no refunds will be provided for cancellations within this period.
- More than 100 days before the event date:
Important Note:
- Refunds will be processed after deducting any applicable cancellation charges imposed by vendors/merchants, along with GST or other statutory taxes.
3. Partial Cancellations
- If a partial cancellation of services (e.g., specific vendors, segments of the event) is requested, refunds will be processed based on the terms associated with that specific service.
- Cancellation charges for individual vendors will still apply based on their respective contracts.
4. Refund Process
- Once a cancellation request is received, we will assess it based on the terms of your specific contract and the general terms outlined here.
- Refunds, if eligible, will be processed within 30 days from the date your cancellation request is approved.
- Refunds will be issued through the same payment method used for the initial transaction.
5. Refund Exceptions
- Refund exceptions may apply if special arrangements or customized services were part of the booking.
- If your contract includes non-standard services (such as international vendors or high-demand venues), cancellation terms for these services may differ.
6. Non-Refundable Fees
Some costs are non-refundable due to vendor contracts and other commitments. These include:
- Venue booking fees.
- Vendor payments (photographers, caterers, artists, etc.).
- Applicable TDS/GST
7. Rescheduling Events
If you wish to reschedule your event due to unforeseen circumstances:
- We will make every effort to accommodate your request.
- Rescheduling depends on venue availability, vendor availability, and prevailing circumstances at the time of the request.
- Rescheduling cannot be claimed as a right and is subject to additional charges, if applicable.

8. Force Majeure
Melodia Event Management Services is not responsible for cancellations or delays caused by situations beyond our reasonable control, also known as “force majeure.” These include:
- Natural disasters (floods, earthquakes, storms).
- Acts of God.
- War, riots, or terrorist acts.
- Epidemics, pandemics, or quarantines.
- Government regulations or changes in laws.
- Communication or internet failures.
- General strikes or shortages of raw materials.
In such cases, we will do our best to help you find an appropriate solution.
9. Vendor Contracts
If a vendor or third party cancels their services:
- The cancellation and refund process will be handled according to the vendor’s specific contract and policies.
10. Customer Obligations
To ensure a smooth cancellation and refund process:
- Clients must provide accurate and complete information when submitting a cancellation request.
- Clients should retain all payment receipts and correspondence for reference.
11. Dispute Resolution
In case of any dispute related to cancellations or refunds:
- Both parties agree to pursue mediation or arbitration before seeking legal action.
- Any disputes will be subject to the jurisdiction of Kerala courts.
12. Changes to This Policy
